MERSING, July 7 -- Mersing Polytechnic (PMJ) has developed an award-winning office file management and monitoring system known as the 'Electronic Filing Monitoring System' (eFMs) which is more systematic, efficient and user-friendly.

Head researcher and senior lecturer at PMJ’s Information and Communications Technology Department Suhana Ismail said the system was developed to facilitate the borrowing and monitoring process of files in an organisation that allow users to check the current status of a file in a speedier and more efficient manner.

“The system is also installed with the security features of a website in order to protect it from cyberattacks.  Besides, the system can be customised according to clients’ requests and needs.  At the same time, it can save cost and time for it enables users to check the status of a file online prior to obtaining it,” she told Bernama recently.

Commenting further, Suhana said in the conventional file card movement method, users face difficulties in checking for the current status of a file and will not be able to immediately track those that have exceeded their loan period, resulting in untraceable and missing files.

“The system which started development in June 2018 has been recognised at national and international competitions and has attracted several agencies to use it,” she said.

She said one of the agencies using the eFMs system is Jasin correctional centre in Melaka which helped PMJ achieve an outstanding recognition in The Public Sector Conducive Ecosystem (EKSA) certification audit in 2018, besides winning third place in the Quality Award (File Management and MyPortfolio) 2019 of the Malaysia Prisons Department.

The eFMs system has won four gold medals and two silver at national and international competitions such as the  2020 Bangkok International Intellectual Property, Invention, Innovation and Technology Exposition, 2nd Digitalised International Invention, Innovation and Design Johor 2019 (UiTM Johor) and was also announced the winner of the lecturer category in the National Startup Bootcamp and Competition 2019, she added.
